Handyman work is varied by nature — one job might be fixing a door hinge, the next is a full bathroom refit. That variety makes invoicing feel complicated, but it doesn't have to be. A clear, professional invoice works for any job size, sets payment expectations from the start, and gives you a paper trail if a client ever disputes anything. Here's what to include and a free template to get you started.
What to Include on a Handyman Invoice
1. Your business information
Your name or business name, address, phone, and email. If you're VAT registered or hold any relevant trade qualifications, include those. For handyman work especially — where clients are often inviting you into their homes — professionalism on paper builds trust before you even arrive.
2. Client information
Full name and address of whoever you're billing. Include the property address if it's different from the billing address — useful for landlords who own multiple properties you service.
3. A unique invoice number
One number, per invoice, every time. It keeps your records clean and is essential when chasing payment or reconciling your accounts at year end.
4. Job date and payment due date
State the date the work was carried out and when payment is due. For small, one-off jobs, a short payment window — Net 7 or Net 14 — is reasonable and common.
5. Itemised breakdown of work
Handyman jobs often involve multiple small tasks in one visit. List each one:
Labour: Replace bathroom tap washer (0.5 hrs @ $70/hr)
Labour: Re-hang sticking door, adjust frame (1 hr @ $70/hr)
Labour: Replace 2 x ceiling light fittings (1.5 hrs @ $70/hr)
Parts: Tap washers, door hinge, ceiling roses
Call-out fee (if applicable)
Listing each task separately removes ambiguity and shows the client the full value of what was done.
6. Parts and materials
List all parts used with quantities and unit prices. Even small items — a handful of screws, a tube of sealant — add up. If you charge a markup on parts, that's standard practice; just make sure your pricing is competitive.
7. Call-out fee
If you charge a call-out fee — especially for small jobs under a certain value — list it as its own line item. Make sure it's mentioned in your quote before the job, so it doesn't come as a surprise on the invoice.
8. Subtotal, taxes, and total
Clear numbers, tax as a separate line if applicable, total at the bottom. No ambiguity.
9. Payment terms and methods
Bank details or a payment link — whichever your clients prefer. For recurring clients (landlords, property managers), consider asking them to save your bank details to make repeat payments faster.

Common Mistakes Handymen Make on Invoices
Listing everything as one line. "Various repairs — $250" gives the client nothing to check against. List each task and it becomes hard to argue with.
Forgetting the call-out fee. If you drove 30 minutes to fix a single tap washer, that time and fuel has a cost. Charge it — but make sure it's in your quote first.
Not including parts at all. Some handymen absorb small parts costs rather than invoice them. Over a year, that's a significant margin leak.
Slow invoicing on small jobs. Small jobs especially should be invoiced the same day. Leaving it a week makes it harder to collect and easier for clients to deprioritise.
The Faster Way to Invoice
When you're doing several small jobs a day, invoicing each one manually is time-consuming. Clervo lets you build and send a professional invoice from your phone in under a minute — right from the job site, while the client is standing there. Payment reminders are automatic, so you don't have to follow up manually.
Small jobs deserve proper invoices too. Get paid every time.
