You did the job — the place is spotless. The last thing you want is to spend the next three weeks chasing payment. A professional cleaning invoice makes it easy for clients to pay, sets clear expectations from the start, and keeps your bookkeeping in order whether you're doing one-off cleans or recurring weekly jobs. Here's what to include and a free template you can use today.
What to Include on a Cleaning Invoice
1. Your business information
Your name or business name, address, phone, and email. If you're VAT/GST registered, include your registration number. Sole traders can use their personal name — you don't need a company to look professional.
2. Client information
Full name and address of whoever you're billing. For commercial clients, get the accounts payable contact — not the office manager who hired you. That's the person who actually processes payments.
3. A unique invoice number
Each invoice needs its own number. It keeps your records clean and is essential if you ever need to follow up. For recurring clients, sequential numbering makes it easy to track which invoices are outstanding.
4. Invoice date and payment due date
State both. Cleaning jobs are often recurring, so consider setting up a fixed billing cycle — for example, invoicing every Friday for that week's work, due within 7 days. Predictability helps your cash flow and the client's.
5. A clear breakdown of services
Cleaning jobs vary. Your invoice should reflect what was actually done:
Regular clean: Weekly clean, 3 hrs @ $35/hr
Deep clean: End-of-tenancy deep clean, flat fee $180
Add-ons: Oven clean, carpet steam clean, window cleaning
If you supply cleaning products, list those separately or build them into your rate — just be clear about which it is.
6. Supplies (if charged separately)
If you charge for cleaning products, list them as a separate line item with the cost. Some cleaners include supplies in their hourly rate; others charge at cost. Either way, be explicit on the invoice.
7. Subtotal, taxes, and total
Show the numbers clearly. If you charge tax, list it as a separate line. For recurring clients, you might also consider a brief summary of the billing period — "Services: 1–30 May" — to avoid confusion.
8. Payment terms and methods
Make it as easy as possible to pay. Bank transfer details, a payment link, or even a card reader reference. The faster the client can act, the faster you get paid.
9. Cancellation policy (optional but useful)
If clients cancel at short notice and you lose the booking, consider adding a cancellation clause: "Cancellations with less than 24 hours notice are charged at 50% of the scheduled rate." Include it on every invoice so it's never a surprise.

Common Mistakes Cleaners Make on Invoices
Not invoicing at all. Some cleaners still rely on a handshake and a cash payment. This works until it doesn't. An invoice protects both parties.
Billing irregularly. If you clean every week but invoice once a month when you remember, cash flow suffers. Set a fixed billing day and stick to it.
Not including a cancellation policy. Without one, you have no leverage when a client cancels at 7am on the morning of a booking.
Combining multiple jobs onto one vague invoice. List each visit or service separately so there's no confusion about what the client is paying for.
The Faster Way to Invoice
For recurring clients especially, manual invoicing every week adds up fast. Clervo lets you create and send professional invoices from your phone in under a minute, with automatic payment reminders so you spend less time chasing and more time cleaning.
