Invoice Template for Canadian Contractors

Invoice Template for Canadian Contractors

A contractor invoice should show the work clearly, separate labour and materials, handle tax correctly, and make payment easy. Use this structure as a practical Canadian invoice template.

Canadian Contractor Invoice Template

Contractor invoices need to be specific enough for the customer, useful enough for your records, and clean enough to get paid without back-and-forth. Here is a simple structure you can use for renovation, repair, installation, maintenance, and field service work.

Header

  • Your business name

  • Business address, phone, and email

  • GST/HST or tax registration number if applicable

  • Invoice number

  • Invoice date and due date

Client and Job Details

  • Client name and billing address

  • Job site address if different

  • Contact person and phone number

  • Estimate or work order number if there was one

Work Description

Use line items rather than one vague paragraph. This helps the client understand what they are paying for and reduces disputes.

  • Labour: number of hours, rate, and work performed

  • Materials: item names, quantities, and cost

  • Fees: call-out fee, disposal, permit, travel, or emergency surcharge

  • Discounts or deposits already paid

Tax and Total

Show the subtotal before tax, then GST/HST or PST if applicable, then the final amount due. If you are not registered for GST/HST, do not add GST/HST. If your province has PST rules, show PST separately when it applies.

Payment Instructions

Tell the client exactly how to pay. Include e-transfer details, card payment link, bank transfer information, cheque instructions, or any preferred method. Add the payment due date near the total so it cannot be missed.

Optional Notes

For contractor work, it can help to include warranty notes, completion dates, photos, signed approvals, or a reminder that unpaid balances may delay future work. Keep the tone professional and factual.

Copy-Friendly Layout

Invoice summary: “Labour and materials for [job description] completed at [job address] on [date]. Payment due by [date].”

Payment line: “Please send payment by e-transfer to [email] or pay by card using the secure link provided.”
